Job Summary Solo practitioner PI attorney is seeking a dynamic and detail-oriented Legal Secretary/Paralegal to work on-site at our downtown office on a long-term, part-time basis 2 days per week.
The ideal candidate will be proactive, highly organized, and possess strong drafting skills. You will play a vital role in calendaring, managing legal documents, supporting litigation processes, and providing exceptional administrative support to attorney and clients.
Duties:
- Prepare, review, and proofread legal documents including pleadings, briefs, discovery materials, and correspondence with meticulous attention to detail.
- Obtain and maintain medical records and billings.
- Manage case files and ensure all files are accurate, organized, and up-to-date.
- Support project management tasks by coordinating deadlines, scheduling appointments or interviews with clients or witnesses, and tracking case progress.
- Perform administrative duties such as filing documents electronically, managing calendars for court dates or client meetings, and handling phone inquiries with professionalism and courtesy.
- Conduct intake interviews by gathering relevant information efficiently while maintaining confidentiality; prepare summaries for attorney review.
- Support litigation activities through document review and organization of evidence; prepare exhibits, trial notebooks and summaries as needed for court proceedings.
- Maintain high standards of proofreading and transcription to ensure accuracy in all legal documentation; support attorneys with drafting correspondence or reports.
Experience:
- Proven experience working within a busy personal injury law office as a legal secretary or paralegal.
- Demonstrated expertise in legal administrative tasks including document management.
- Excellent organizational skills with the ability to manage multiple priorities efficiently while maintaining attention to detail.
- Effective communication skills demonstrated through interviewing clients or witnesses professionally via phone or in person; proficient in legal writing and drafting techniques.
- Knowledge of litigation calendaring to coordinate case timelines and deadlines effectively.
- Proficient in Corel WordPerfect.
- Familiarity with clerical tasks such as proofreading documents, transcribing recordings accurately, managing calendars for court dates or client meetings.
Experience providing executive administrative support in a fast-paced environment; ability to handle confidential information discreetly.
