Position Summary
NowackHoward, Community Association Attorneys, is seeking a highly organized and client-focused Legal Assistant to support our General Servicing practice. This role provides comprehensive legal and administrative support to multiple attorneys while serving as a key point of contact for clients.
The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced, team-driven environment. This position plays a critical role in ensuring efficient operations, maintaining strong client relationships, and supporting the Firm’s overall service delivery.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
Attorney & Administrative Support
- Manage attorney calendars, including scheduling meetings, calls, and deadlines
- Monitor, organize, and respond to assigned attorney inboxes
- Draft, format, proofread, and finalize legal correspondence and documents
- Coordinate communications to support ongoing matters and case progress
- Serve as a liaison between attorneys and clients, ensuring timely and professional responses
- Cross-train to serve as both general servicing and litigation support
- Answer and handle incoming phone calls to attorneys supporting
- Handle meeting and call scheduling for attorneys supporting
- Assist with email responses as requested
- Monitor deadlines
- Record documents in public records
- File complaints, motions, responses, etc. as needed with clerk of court
- Assist with client satisfaction
- Maintain, organize, save and manage digital and physical client files (NetDocs and/or similar systems)
- Scan, maintain and manage client files
- Conduct investigations and research as requested
- Ensure all emails and documents are properly saved and categorized
- Complete filings through platforms such as GSCCCA
- Assist with document preparation and legal research tasks
Client Lifecycle Management
- Maintain client contact records and retainer status across firm systems
- Assist with annual registrations and filings (e.g., Secretary of State filings)
- Complete Board and Manager contact updates as received
Operations & Team Support
- Serve as secondary support for reception and phones (as needed)
- Special projects (as needed)
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Educational background or coursework related to homeowners associations (HOA), community association management, or a similar field preferred.
- Previous experience in a legal assistant or administrative role preferred
- Strong organizational and multitasking skills in a fast-paced environment
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong attention to detail and accuracy
- Ability to maintain confidentiality of sensitive and privileged information
- Customer service mindset with a collaborative approach
