Position Summary: The Pre-Litigation Case Assistant plays a key role in supporting personal injury cases during the pre-litigation phase. This individual will manage a caseload of 115-135 cases, ensuring the timely and accurate preparation of demand letters, acquiring and reviewing medical and billing records, and maintaining case data in Filevine. The assistant will also work closely with clients, medical providers, and the case manager to ensure effective communication and the proper handling of case details. The ideal candidate is organized, detail-oriented, and experienced in personal injury law, with a strong ability to handle multiple tasks efficiently.
Key Responsibilities:
- Effectively manage a case load of 115-135 cases.
- Accurately prepare case details for liability, PIP, and UIM demand letters.
- Continuously communicate with clients and medical providers to ensure proper treatment and diagnostic tests are performed effectively and in a timely manner.
- Acquire and review medical and billing records throughout the treatment phase of the case.
- Accurately maintain case management data in Filevine (case management database).
- Successfully support a cooperative team dynamic with case manager.
- Requests open records.
- Maintain portal management.
- Ensures that records requests are submitted for all hired cases.
- Redistributes email responses regarding to open records. Funnels records status to case handler.
- Sends correspondence to Medicaid and Medicare for all new clients.
- Sends LOR to Medicare and Medicaid to all new clients.
- Maintain and stay current on checklist items.
Qualifications:
- High school diploma or GED; college degree or paralegal certification a plus
- Proficient in personal injury law involving motor vehicle accidents
- Excellent organizational skills with outstanding attention to detail
- Professional appearance and behavior
- Ability to maintain a high degree of discretion dealing with confidential information
- Minimum of 2 years (preferred) of experience in a plaintiff’s personal injury law firm
- Exceptional verbal and written communication skills on the phone, in person and email
- Excellent time management, multi-tasking, and critical thinking abilities
- Proficient in Microsoft Office Suite and Case Management software (Filevine preferred)
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stationary Position – Must be able to remain in a stationary position up to 50% of the time.
- Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.
- Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
- Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
