Description:
The Front Office Receptionist and Intake Legal Assistant I serves as the first point of contact for clients, visitors, and callers, providing a professional and welcoming presence for the firm. This role is essential to maintaining daily office operations, supporting administrative processes, and assisting the intake team. The receptionist ensures a clean, organized environment and handles communication and clerical duties efficiently to support the overall functionality and image of the firm.
SKILLS AND QUALIFICATIONS:
- High School diploma or equivalent required.
- Self-motivated.
- Computer experience required.
- 2+ years of related experience in working in an administrative assistant role is preferred.
- Advanced Proficiency in Microsoft (Outlook, Word, Excel, and PowerPoint).
- Ability to communicate effectively and professionally.
- Excellent communication and time management skills; proven ability to meet deadlines.
- Ability to function well in a high-paced environment; performs additional duties as assigned.
- Use discretion, confidentiality, and good judgment.
KEY RESPONSIBILITIES:
- Answer incoming calls promptly and route them appropriately.
- Greet clients and visitors courteously and professionally, always offering refreshments.
- Promptly prepare and tidy the conference room for in-office client meetings.
- Respond to client inquiries and direct them to appropriate staff.
- Maintain a clean and organized reception area and common office spaces.
- Monitor office supply levels and order supplies as needed.
- Coordinate with vendors for office maintenance or deliveries.
- Organize incoming mail and faxes and distribute them accurately into the appropriate file.
- Creating new client files in the case management system.
- Initiating claims with insurance companies.
- Preparing and sending letters of representation to relevant parties (e.g., insurance carriers, at-fault individuals).
Job Type: Full-time
Pay: $15.00 - $18.00 per hour
